Universities check identity documents more often than students expect. Enrolment, a change of visa route, a scholarship payment, a placement abroad: each of these steps starts with a valid passport. For Ukrainian students in the United Kingdom this is not a formality, because the document cannot be issued locally and the timeline is set by a procedure that runs through two countries.

Why an expired passport stops an academic year
A British university does not issue documents to Ukrainian citizens and cannot extend them. When a passport expires, a student keeps their immigration status but loses the ability to confirm identity in situations where a photocopy is not accepted: opening or restoring a bank account, signing a tenancy agreement, registering for exams that require photo identification, travelling to a conference.
The practical problem is timing. Applications submitted abroad are accepted by diplomatic missions and by branches of the state enterprise Document, but neither of them makes the decision. Their role is to accept the application, verify identity, collect biometric data and forward the file to Ukraine. Passports are produced in Ukraine only, and the regulated maximum for the whole process is three months.
How the procedure works in 2026

Three situations create most of the delays. What the consulate actually checks
Students often assume the appointment is a formality where a photograph is taken and the case is closed. Planning around the academic calendar
A workable approach is to treat the passport expiry date the same way as a visa expiry date and put it into the same calendar. Nine months before expiry, check the document generation and the spelling of the name across university, bank and immigration records. Six months before, collect the supporting documents. Three months before, book the appointment.
